Management change notice

Dear Neighbors,

Your Condo Association Board is writing to you to let you know that beginning in January, The Belvedere will have a new management company. We are emailing and putting a note under your door so that we’re sure everyone receives this information in a way that best suits them.

Why and how we are making this change

We have been with Towne Properties for 17 years, and initially, it was a very good arrangement. However, for the last several years, we have heard from homeowners and have experienced as a board a lack of service and responsiveness. The board has addressed these issues directly with Towne several times over the past three years with no satisfactory change.

Earlier this year, after being presented with a new contract from Towne that included higher fees, your neighbors on the board decided to begin the process of exploring other options. We informed Towne we would be searching, and that they would be part of the process. Beginning in late Spring, the board drafted and later issued an RFP for management services. We interviewed several management companies, including Towne, over the course of the summer and fall months. We reviewed the RFP responses in detail, checked references, compared financials, and spent hours comparing benefits and costs before selecting Vertex, a family-owned company based in Florence, Kentucky.

The new company

Vertex manages several local properties, all of which provided us with positive reviews.

For no more than we are currently paying Towne, Vertex will provide us with the following and more:

  • Onsite building manager, 40 hours a week, who will walk the property daily
  • Onsite dedicated maintenance person beginning with two days a week
  • The ability to pay bills online for those who wish to do so
  • The ability to request maintenance services online or via phone call
  • Full visibility of maintenance requests via an online portal
  • 24/7 Emergency maintenance services
  • A detailed reserve study to ensure our financials are meeting our long-term needs
  • Competitive bidding for all major capital improvements

This change will NOT AFFECT our door staff or cleaning staff, and none of our preferred vendors are changing.

Vertex includes access to specialized maintenance services through its sister company, Tru Element, which will allow us to have a full-time building manager who will oversee things AND part-time dedicated maintenance people with expertise in maintenance issues.

Vertex will be here in person to meet with all homeowners and answer any questions you may have. The date for this has not been set, but as soon as it is, we will let you know immediately.

Towne has been informed of this change and has been asked to assist in a smooth transition.
